  • Event Coordinator
  • Position Summary:
    Provides professional client services support in the planning, organization and management of events within the facility, and monitoring the logistics of these events, and all event coordination tasks after events are booked through the conclusion, by performing personally or through subordinates the following duties:

    Essential Duties and Responsibilities:

    • Supervises staff and oversees all aspects of facility operations related to events.
    • Meets with client groups to plan and organize assigned meetings and/or events.
    • Coordinates activities with the various service contractors for assigned meetings and/or events.
    • Guides clients in preparation of events by interpreting and explaining contract provisions, policies and procedures.
    • Keeps clients informed as to status of deadline schedules, including but not limited to floor plan submissions, meeting room set-up specifications, insurance requirements and other relevant details.
    • Prepares cost estimates and monitors final billing.
    • Provides clear, concise, and timely communication of detailed requirements to operational departments. Assists in scheduling operational set-ups to provide equipment or services needs. Monitors and supervises facility set-up when necessary.
    • Assists in training event services staff.
    • Serves as primary liaison between clients and facility departments.
    • Monitors in-house events, maintaining close contact with clients and facility staff to ensure successful events. Follows-up on all client requests, concerns, and problems.
    • Attends appropriate planning, organization and other event and facility meetings in support of facility operations.
    • Serves as manager on duty as required.
    • All other necessary duties as assigned.

  • Summary

    SMG, the leader in privately managed public assembly facilities, has an excellent and immediate opening for a Director of Facility Accounting for SMG at the Shreveport Convention Center and the Shreveport Municipal Auditorium, located in Shreveport, LA. The Director of Facility Accounting assists in the development and implementation of company goals and priorities relating to financial management, budget, accounting, purchasing, and/or payroll in compliance with State and Federal law, and SMG policies and procedures.

     

    Major Responsibilities

    Include the following. Other duties may be assigned.

    • Assists in the development and implementation of facility goals and priorities relating to financial management, budget, accounting, purchasing, and/or payroll in compliance with State and Federal law, and SMG policies and procedures.
    • Monitors SMG compliance with all provisions of the management contract.
    • Maintains contact with SMG's risk management department and insurance broker for coordination of appropriate coverage.
    • Reviews all contracts for client, events, subcontractors, food and beverage or concessionaires.
    • Reviews and/or prepares event settlements.
    • Reviews and executes all checks and deposits; reviews daily cash receipts and disbursements.
    • Monitors and projects daily cash flow; invests excess cash as needed.
    • Reviews all purchasing of capital assets, office supplies and facility supplies.
    • Develop and implement all financial reporting, including:
      • Prepare financial statements for the Client and SMG Corporate, and other financial reports, including monthly statements, annual budget and annual report.
      • Direct the installation and maintenance of accounting records to show receipts and expenditures.
      • Direct the maintenance of general and subsidiary ledgers, accounts receivable, revenue distribution, depreciation, cost, property, and operating expenses, and insurance records.
      • Analyze financial performance and cost analyses for all departments; prepares monthly financial statements, recommends appropriate actions/changes in order to meet business goals.
      • Prepare statements and reports of estimated future costs and revenues.
      • Direct internal audits involving review of accounting and administrative controls.
      • Coordinate preparation of Client or external audit materials and financial reporting; implements recommendations of Client as requested.
      • Coordinates year-end report of fiscal performance for the General Manager's report.
    • Directs the installation and maintenance of any new accounting, timekeeping, payroll, inventory, property, and other related procedures and controls.
    • Reviews financial statements with management personnel.
    • Participates in the Manager On Duty (MOD) program, acting as Manager of the facility on a rotation basis as scheduled.
    • Be able to work usual business hours (8a-5p, M-F) as well as nights, weekends and holidays, as needed.

Responsible for -- Preparing and distributing cashier banks before show starts; providing change and cash pulls throughout the event; counting out cashiers and preparing the deposit at the end of the event.

    Essential Duties and Responsibilities

    • Count vault and prepare cashier banks for F&B events.
    • Provide change or pull money from concession stands & bars during events if needed.
    • Count out the cashiers money and prepare cashier settlement sheet at the end of the event.
    • Prepare the deposit.
    • Reconcile and balance vault funds.
    • Other duties as assigned.

    • Provide information to the public concerning events being held.
    • Assist customers with ticketing issues and complaints.
    • Pull up ticket information and print Will Call tickets.

    Position Summary:

    Responsible for directly supervising operations staff in preparing facility for scheduled events, cleaning of facility following events and other duties as assigned.

    Major Responsibilities:

    • Supervises set-up/tear-down of meeting rooms.
    • Supervises set-up of risers, chairs and stage for concerts etc.
    • Supervises clean up of convention or trade show floor.
    • Supervises booth and floor clean up during event.
    • Responsible for stock and equipment inventory.
    • Responsible for equipment upkeep and repair.
    • Perform basic operational duties as a working supervisor.
    • Responsible for hiring steps including interviewing, assistance with new hire paper work and shift placement; Also responsible for preparing separating documentation and all supporting materials as needed.
    • Responsible for administering immediate disciplinary actions including dismissing employees from active duty for department violations/procedures; works directly with operations management and human resources in coordinating disciplinary action in verbal, written and other relating disciplinary matters.
    • Responsible for payroll process and scheduling.
    • All other necessary duties as assigned.

     

    Qualifications:

    Knowledge:  Should possess working knowledge of stage, riser and chair set-up for varied events.  Must be knowledgeable in commercial cleaning procedures, including operation of driver-controlled floor scrubber.  Must be fork lift certified.

    • Prepares facility for show including setting chairs, stages, tables and counters as assigned.
    • Performs exterior cleaning of terrace, steps, parking garage, and sidewalks.
    • Cleans interior and exterior glass.
    • Uses equipment as required upon completion of training in safe manner and as directed by operational standards.
    • Disposes of all waste, including bulk trash removal from hall and participates in recycling program as required.

    • Work extended or irregular hours including nights, weekends, and holidays, as needed.

    SMG, the leader in privately managed public assembly facilities has an excellent and immediate opening for a Sales Manager at the SMG Shreveport Convention Center.  Primary responsibility is booking large, high-revenue producing events at all venues within the Shreveport Convention Center including, but not limited to, the following event types: private, corporate, association, conferences, non-ticketed, open to public and community-related events, as well as sporting events.  Responsible for working in conjunction with other members of the Sales staff to market the venues and initiate specific event-related promotions to increase revenue.

    Essential Duties and Responsibilities

    • Assist Sales team in accomplishing sales and marketing goals
    • Use Sales and Marketing principles to promote the facility
    • Send client pre-event information and follow-up information that affects booking
    • Quote rates and assists with formal license agreements; prepare contracts
    • Handle pre-event correspondence and meetings until account is be turned over to an Event Coordinator
    • Assist Director in developing Marketing Plan to include goals and advertising
    • Carry out specific marketing plan relating to events using support of advertising, as requested by the Director

     

    Supervisory Responsibilities     

    This position has limited supervisory responsibilities for employees or interns in the Sales and Marketing Department.  Sales Manager carries out supervisory responsibilities in accordance with SMG's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding; disciplining employees in conjunction with Human Resources; addressing complaints and resolving problems.

    Essential Duties and Responsibilities include the following. Other duties may be assigned.

    • Provide a guest services level of care for employees, clients, and patrons.
    • Carry out emergency, safety, and security programs and procedures when necessary.
    • Perform foot and vehicle patrols of property. Inspect and report on facility’s compliance with safety and security procedures.
    • Investigate and report incidents including damage/injury to the facility or employees.
    • Assure POD compliance on patrols.
    • By direction, provide assignments and permitting for temporary parking.
    • By direction, issue facility ID badges.
    • Work extended or irregular hours including nights, weekends, and holidays, as needed.
    • Other duties as assigned.

     

    Working Conditions

    • Position requires walking the facility and grounds
    • Position primarily works inside and outside the facility, with some exposure to adverse weather and working conditions.
    • May be exposed to physical confrontations.
